Document flow

Document flow is a management process whereby managers can track the whereabouts of a physical document and to know how far the document has progressed through an administrative process.

For example, the movie on the right shows the progress of an important letter which needs to be assessed in four stages. The receipt of the letter is recorded at mail reception (Location 1). The letter is passed to the Legal department for review (Location 2) and then the accounts department needs to check some of the statements in the letter (Location 3). Only after this process has been completed can a managed know how to reply to the letter (Location 4). Therefore the administrative process consists of 4 stages indicated by the blue areas in the movie on the right.

At reception the online system can issue an adhesive bar coded lable which is affixed to the letter as a unique ID. Subsequently all the staff members have to do on receipt of a letter, or dossier, is scan the bar coded label. This process can automatically time stamp the arrival of a document at each location.
